Objective
AU has a standardized mechanism to document and file the class attendance of students who receive benefits from the Department of Veterans Affairs (VA), as well as all students in general, on a daily basis, in compliance with federal requirements for eligibility and certification.
Scope
This procedure applies to all VA-beneficiary students (Chapter 33, 31, or other applicable chapters) enrolled in approved academic programs, as well as to all students in general, and is recorded on each instructional day, during which the instructor maintains an attendance sheet on which each student records their class attendance.
Procedure
- Identification of VA Students
- The Registrar will provide each instructor with a list of students with active benefits at the start of the academic term, as well as a list of all students in general.
- Attendance Recording
- For in-person courses: instructors must complete an attendance sheet with physical or electronic posting in SIS during the first two weeks of classes.
- Submission and Filing
- Attendance sheets or digital captures must be submitted to the Registrar no later than ten (10) calendar days after the start of the course.
- The Registrar’s Office will file the evidence in a daily attendance record folder for all VA students and for all students in general, validating the student’s academic participation and attendance.
- 4. Retention
- At AU, attendance evidence will be retained for a minimum of three (3) years, or for the period required by PRSAA and VA for review purposes.
